Overview

An enquiry is a request. An order is a commitment. Converting an enquiry to an order locks in the details, prepares the invoice, and adds the work to your production schedule.

Enquiries vs. Orders

Understanding the difference helps you manage your workflow:
  • Enquiry — A customer has expressed interest. Nothing is confirmed yet. You can still negotiate details, adjust pricing, or decline.
  • Order — You and the customer have agreed on the products, quantities, pricing, and date. The order is confirmed and ready for invoicing and production.
The conversion step is where you finalize everything before committing.

Before You Convert

Review the enquiry details one more time. This is your last chance to make adjustments without editing a confirmed order.

Adjusting Quantities

  1. Open the accepted enquiry.
  2. Tap on any line item to edit the quantity.
  3. Update the number and save.

Adjusting Pricing

If the customer requested custom work, rush delivery, or anything that changes your standard pricing:
  1. Tap the price field on the relevant line item.
  2. Enter the updated amount.
  3. The estimated total recalculates automatically.
Pro tip: If you need to discuss pricing changes with the customer first, send a quote before converting. This keeps everything transparent.

Adding or Removing Items

You can add products the customer didn’t originally request or remove items they no longer need. Tap Add Item to search your product catalog, or tap the remove icon next to a line item to delete it.

Converting the Enquiry

Once the details are finalized:
  1. Open the accepted enquiry.
  2. Review all line items, quantities, and pricing.
  3. Tap Convert to Order.
  4. Confirm the action in the dialog that appears.

What Happens After Conversion

Several things happen when you convert:
  • Status changes — The enquiry moves from Accepted to Confirmed in your Counter.
  • Invoice readiness — A draft invoice is created with the finalized line items and total. You can review and send it when ready.
  • Calendar updated — The order appears on The Sweet Spot for the confirmed date, counting toward your daily capacity.
  • Customer notified — The customer receives a confirmation with the order summary and expected date.
Good to know: Converting does not automatically send an invoice. You control when the invoice goes out.

After Conversion

With the order confirmed, your next steps depend on your workflow:
  • Send the invoice to collect payment or a deposit.
  • Check The Sweet Spot to plan your baking schedule around the confirmed date.
  • Use The Pass on production day to track the order through your baking checklist.
