# How Quote Approval Works

> Send quotes for customer approval with a signature-ready link.

## Overview

Knead gives you a complete quote approval workflow. You build a quote, send it to your customer, and they approve it with a signature. No back-and-forth over text. No handshake deals. A clear, signed agreement before you start baking.

## The Quote Lifecycle

Every quote moves through three statuses:

* **Draft** — You are building the quote. The customer has not seen it yet.
* **Sent** — The customer has received the quote link via email.
* **Approved** — The customer has reviewed and signed the quote.

A quote can also become **Expired** if the customer does not respond, or **Revoked** if you withdraw it before they approve.

## Sending a Quote

1. Open the enquiry or order on The Counter.
2. Tap **Send Quote**.
3. Review the line items, quantities, and pricing.
4. Add a personal note if you want to include context about custom pricing, timeline, or special instructions.
5. Review the terms and conditions that appear at the bottom.
6. Tap **Send**.

Knead emails your customer a link to a branded quote page. They do not need a Knead account to view it.

<Tip>Pro tip: A short personal note goes a long way. Something like "Looking forward to making this for your event!" builds trust and increases approval rates.</Tip>

## What Your Customer Sees

When your customer taps the link in their email, they land on a branded approval page. The page includes:

* **Your bakery name and logo** at the top.
* **Line items** with product names, quantities, variants, and prices.
* **Your personal note** if you added one.
* **[Terms and conditions](/quotes/quote-terms-and-conditions)** at the bottom of the page.
* **A signature area** where they draw or type their name to approve.

The page is mobile-friendly. Most customers approve from their phone within minutes.

## Signing and Approving

Your customer reviews the details, scrolls to the bottom, and signs in the signature capture area. They can draw their signature with a finger or stylus, or type their name.

Once they tap **Approve**, two things happen:

1. **You receive a confirmation email** letting you know the quote was approved. A notification also appears on The Counter.
2. **Your customer receives a confirmation email** with a copy of the signed quote for their records.

The quote status changes to **Approved** and the signature is stored with the quote.

<Note>Good to know: The signature is legally captured and timestamped. You can reference it if any pricing disputes come up later.</Note>

## Expired and Revoked Quotes

Not every quote gets approved right away.

* **Expired** — If a customer does not respond within the expiration window, the quote moves to Expired. You can resend or revise it at any time.
* **Revoked** — If you need to withdraw a quote before the customer approves, tap **Revoke** on the quote detail page. The customer can no longer access the approval link.

## After Approval

Once a quote is approved, you are ready to convert it into a confirmed order. Tap **Convert to Order** on the approved quote to move forward with invoicing and production.
